COD Remittance Meaning and Cycle: Reconcile Each Order

Follow cash collected at delivery through the provider statement to the amount actually credited to your bank.

October 24, 2026 · Practical seller guide

Quick answer

COD remittance is the transfer of cash-on-delivery collections from the courier or aggregator to the seller. A remittance cycle is the agreed schedule for processing those transfers after eligible collections. Delivered, remittance initiated and money received are separate events that need matching records.

Why there is a remittance cycle

When your buyer pays at the doorstep, the money does not necessarily arrive directly in your business bank account. The collecting party needs to record the payment, match it to the shipment and process settlement under your agreement. The cycle describes that process; it is not the same as the delivery estimate you gave the buyer.

For a WhatsApp seller, the original order may live in a conversation while shipping sits in a courier panel and settlement arrives as a batch. A daily order list helps connect those records. Otherwise a team can know that a parcel was delivered and still be unable to explain which bank credit contains its collection.

COD remittance in Shiprocket or Delhivery

Start by identifying the contractual settlement party. If you booked through an aggregator, the courier carrying the parcel may be different from the organisation paying your business. For COD remittance in Shiprocket, check the account's current settlement information and the official Shiprocket help centre. For COD remittance in Delhivery, check the current terms and statement for the Delhivery account or intermediary you actually use.

No provider cycle length is assumed here. Settlement timing, eligibility, account arrangements and optional services can differ. Save the terms that apply to your account and compare the expected settlement against them. A cycle quoted by another seller may describe another plan or an older arrangement.

What “remittance received” should mean in your ledger

A provider may mark a settlement as processed or received. Read that status in the context of its own definitions. In your working ledger, record actual money received only when you can match the transfer reference and bank credit. Keep a pending transfer visible if the provider statement and bank record do not yet agree.

A bank credit can cover several orders. Allocate it using the remittance statement rather than matching only on a similar amount. Retain any difference as an open item with an owner. If a settlement is reversed or corrected later, append the change with its reference so the original allocation remains explainable.

An order-level reconciliation template

Copy these column headings into your sheet, then use the final column as your checking note. The table is a working template, not an example of a provider statement. Keep sensitive buyer information in your controlled order system rather than adding it to an unrestricted finance sheet.

For a wide sheet, use this header row: Order ID | AWB | Delivered date | COD amount | Remittance ID | Amount received | Deductions. Add expected settlement, issue owner and next review date when they help your operation. Keep the provider's original exports so a later reviewer can reproduce the matching.

A manual reconciliation process

  1. Confirm the collection balance. Start with the amount the courier should collect. Subtract an advance only after verifying that payment and the supported collection update.
  2. Match delivered orders. Join your order list and tracking export by AWB. Keep undelivered, returned and disputed shipments visible in separate states.
  3. Open the remittance statement. Locate each AWB or the provider's equivalent shipment reference. Note its remittance ID and any itemised adjustment.
  4. Match the bank credit. Use the transfer reference and batch amount. Allocate the batch back to its orders and retain an explanation for differences.
  5. Raise unresolved items. Send the settlement party the order, AWB, delivered date, expected amount and relevant statement references. Save the ticket and response.
  6. Close on evidence. Record the bank-confirmed allocation or agreed adjustment. Keep unanswered differences assigned for review rather than replacing them with a guessed amount.

Charges and delivery disputes need separate records

A deduction is not self-explanatory. Check whether it relates to collection, freight, an earlier balance or a disputed measurement. Ask for the underlying entry and contract basis. The weight discrepancy guide explains which packing evidence helps investigate a measurement adjustment. Do not silently net an unexplained charge against an unrelated order.

If a buyer says they paid but tracking says otherwise, investigate both records. Save the buyer's account and request the courier's collection or delivery evidence through the available channel. The NDR reason guide and disputed-attempt checklist cover the delivery side. A payment dispute should remain open until its own evidence resolves it.

Where RxFlow fits

NDR automation for Instagram and WhatsApp sellers keeps delivery follow-up connected to the order. RxFlow can help your team retain the relevant COD and courier records, while provider statements and bank credits remain the evidence for reconciliation. Confirm connected account support during assisted setup. Software cannot guarantee a settlement date or make an unexplained deduction valid. COD remittance questions

What is COD remittance meaning?

COD remittance is the transfer to the seller of cash-on-delivery money collected for delivered orders, subject to the provider's settlement process and applicable adjustments. It is separate from the courier marking the parcel delivered.

What does COD remittance received mean?

It generally indicates settlement has been recorded, but the label's exact meaning depends on the provider. Match the remittance reference to the bank credit and allocate the payment to its orders before closing your own ledger.

Is the COD remittance cycle the same in Shiprocket and Delhivery?

Do not assume so. Check your provider's current settlement terms and your account arrangement. When a shipment is booked through an aggregator, identify which party remits the money to you before comparing cycles.

What are COD remittance charges?

They are charges or adjustments associated with collection and settlement under your agreement. Check the itemised statement and applicable terms. Keep freight, weight adjustments and any settlement-related fee identifiable rather than assuming every deduction is the same charge.

Can a delivered parcel still have COD pending?

Yes. Delivery and remittance are separate stages. Check the agreed cycle, settlement statement and bank account, then raise any overdue or unexplained difference using the AWB, order reference and remittance details.
