Undelivered NDR Reasons: Meaning and What to Do Next
Turn a courier remark into a buyer question, a supported courier request and a delivery outcome your team can check.
October 24, 2026 · Practical seller guide
Quick answer
Undelivered NDR reasons are the courier's explanations for a failed delivery (NDR). Common remarks describe an unavailable buyer, an address problem, refusal or a payment issue. Treat the reason as a starting point: ask the buyer what happened, then request the supported next action.
Read the remark beside the order
The NDR meaning in delivery, logistics and shipping is non-delivery report. The reason attached to that report tells your team what the courier recorded. It does not tell the whole story of the order. A buyer who was waiting at home may disagree with an unavailable remark; a refused parcel may have carried an unexpected collection amount.
Start with the order reference and airway bill (AWB), the shipment identifier. Check which parcel the remark belongs to, especially when a buyer has ordered again or has a replacement travelling separately. Keep the original remark, its attempt time and the time your team saw it. This avoids investigating the wrong shipment or confusing a later update with an earlier attempt.
Common NDR reasons and the questions to ask
Courier wording varies, so use this table as a working translation rather than a universal code list. The buyer question should be neutral. The courier request should contain a decision that the buyer has actually confirmed.
| Courier remark | What it usually means | Ask the buyer on WhatsApp | Request from the courier |
|---|---|---|---|
| Customer unavailable / not reachable | The courier reports being unable to meet or contact the buyer; this does not establish why. | Did anyone call or visit? Do you still want the parcel, and when can you receive it? | Ask for attempt details and a reattempt using the buyer's confirmed availability and active number. |
| Customer refused | The buyer reportedly declined the parcel. The amount, item or timing may be disputed. | Did you refuse this order? Was the item, amount due or delivery timing different from what you expected? | Request the recorded refusal details. Submit a buyer-confirmed reattempt or follow the return process. |
| Address incomplete / wrong | The delivery team reports that the address cannot be located or is incomplete. | Please confirm the building, flat, street, landmark and pincode in a complete address message. | Request a supported address correction. Confirm serviceability and whether rerouting is permitted. |
| COD amount not ready | The buyer reportedly could not pay the cash-on-delivery balance when contacted. | Is the balance due correct, including any advance? When will you be ready to receive and pay? | Request a reattempt after confirmation. Correct an incorrect collection amount only through the supported process. |
| Out of delivery area | The service reports that this destination is outside its delivery coverage. | Is the pincode correct? Is there another address you can use if the courier supports a change? | Ask for a serviceability check and the permitted alternatives. Do not promise delivery to an unsupported location. |
| Door locked | The courier reports finding the premises closed or inaccessible at the attempt time. | Was the premises open then? Who can accept the parcel, and during which hours? | Request a reattempt with the receiving person's details and access hours, where supported. |
| Rescheduled by customer | The courier records a request to deliver later, which should be checked with the buyer. | Did you ask for a later delivery? Please confirm the date and a useful availability window. | Request the agreed date if permitted and retain the acknowledgement without promising an exact slot. |
| Entry restricted | Building, office or community access reportedly prevented the handover. | Can security permit entry, or can you meet the courier at an agreed accessible point? | Provide the buyer-approved access instructions and request another attempt through the authorised channel. |
A manual process for every undelivered parcel
- Record the exception. Add the AWB, order, reason, attempt time, next-action deadline and owner to a shared list. Capture the visible courier remark before it changes.
- Contact the buyer. Mention the order so they recognise it. Ask the relevant table question and retain the reply. Use a call when written answers leave the decision unclear.
- Verify the instruction. Confirm reattempt, correction or cancellation. For COD, check the remaining balance against any advance already received.
- Check the live shipment. Confirm the parcel is still eligible for the intended action. A return already moving may have different options from an open failed-attempt report.
- Send the request. Use the provider's current portal or support route. Include the useful buyer details and preserve the submission reference, time and acknowledgement.
- Review the next event. Keep the case open until you have a delivery outcome or a checked return. Assign unanswered requests for follow-up rather than treating submission as success.
When the buyer disputes the attempt
A disagreement needs an evidence trail. Ask whether the buyer received a call, whether anyone visited and when they were available. Save the reply with its timestamp and the courier's recorded attempt time. Call logs can support the account but do not independently prove that no visit occurred. Avoid changing the buyer's words to make a stronger allegation.
Send a factual escalation: the reported reason, the buyer's account, the useful supporting records and the requested next action. Our guide to disputing a customer-unavailable remark includes copyable messages for this handoff. If you use Shiprocket, the Shiprocket NDR panel guide explains how to prepare a request while checking the current provider instructions.
Separate reasons from return and payment outcomes
A shipment returned to you (RTO) has entered a different process from a failed delivery that can still be reattempted. Track the return journey and physically check the contents when it arrives. Keep a missing return open even if the tracking status has changed. A reason code does not prove the stock has reached your shelf.
Money also needs its own reconciliation. A delivered COD parcel can still have a remittance pending, and a shipping adjustment can need a separate dispute. Use the COD remittance reconciliation guide for order-to-bank checks and the weight discrepancy evidence guide for parcel measurements. Do not close those issues merely because the original NDR was resolved.
What the data can and cannot tell you
The customer-unavailable NDR data study shows the distribution reported in a seller's courier export, alongside its limitations. These are courier-coded reasons from an individual operation. This guide does not assign a market share to any reason, or establish that an unavailable remark proves a genuine absence or a false attempt.
For your own review, distinguish shipment-level outcomes from repeated reports on the same parcel. Keep a separate record of buyer replies and courier acknowledgements. That makes it possible to identify a process gap without blaming buyers or comparing incompatible totals. Share the Hindi guide to NDR and reattempts with team members who prefer those explanations.
Where RxFlow fits
When remarks, buyer replies and courier actions become hard to keep together, NDR automation for Instagram and WhatsApp sellers can connect the handoffs around the order. RxFlow's configured workflow contacts the buyer and gives unresolved cases to a team member. Supported courier actions and approval rules are checked during assisted setup; an action requested remains distinct from an outcome verified.
Questions about undelivered NDR reasons
What is the NDR reason meaning in delivery?
It is the courier's stated reason for an unsuccessful delivery attempt. It helps decide what to check next but is not independently verified evidence of buyer behaviour. Match it to the buyer's reply before choosing an action.
Does an undelivered NDR mean my order is cancelled?
No. An NDR reports a failed attempt. The shipment may still be eligible for another attempt. Check the current tracking state, permitted action and deadline before telling the buyer what can happen.
Can I change a wrong NDR reason?
Preserve the original remark and raise a discrepancy with the provider. Attach the buyer's account and attempt details. The courier controls its status record; a seller's correction request does not itself change the record or complete delivery.
Which NDR reason is most common?
There is no market-wide distribution established by this guide. The linked study reports one seller's courier-coded reasons. Its dominant reason cannot be generalised to every seller, courier, category or destination.
Should I request reattempt for every NDR?
First check whether the buyer still wants the item, the destination is serviceable and the courier permits another attempt. A confirmed cancellation, unsupported address or unresolved amount needs a different decision. Save the buyer's instruction and request acknowledgement.
